Google Calendar, Apple Calendar and Outlook

Know what tomorrow looks like before you leave the job

CrewBuddy reads your calendar through its private iCal link. It cannot add or change events. It checks tomorrow's jobs against the notes you have given it.

Text it like this

Fictional example.

You: What do I have tomorrow?
CrewBuddy: 7:30 AM Garcia living room, prep and first coat. 2 PM estimate visit at the Okafor house. Your notes still don't have Maria's paint color. Want a quick text to ask her?

How the link works

Google Calendar gives each calendar a secret address in iCal format. You find it in the calendar's settings under Integrate calendar, then paste it into the Calendar box on your private setup page. Never paste it in a text. CrewBuddy reads events from it. It cannot add, move or delete anything.

Treat the address like a key, since anyone who has it can see your events. If it ever gets out, Google lets you reset it, as its calendar sync help page explains. Apple Calendar and Outlook have similar share links that work the same way.

The evening check

Any evening, text CrewBuddy "tomorrow". It reads tomorrow's jobs from the calendar, checks them against what you have told it and answers in a few short lines: what is set, what still looks open and one next step. Open can mean a paint color nobody confirmed, material you noted but have not picked up, an estimate visit with no address, or a check-in that comes due. If you want a nudge to ask, CrewBuddy can set a reminder that texts you at 6 PM on weekdays.

On a quiet evening with nothing to flag, the answer stays short: the first job, the start time and the address. It works from what is on the calendar and what you have told it. If a job is not on the calendar and you never mentioned it, CrewBuddy does not know about it. The answer comes to you; nothing goes to your customers.

Crew days

If your crew's jobs live in one shared calendar, link that one. CrewBuddy can tell you who is where tomorrow and write a short message you can forward to the crew. It only texts you, so passing it on stays with you.

You can also ask about any day before you promise a time: "Am I free Thursday afternoon for an estimate?" CrewBuddy checks the calendar and answers. You add the visit to your calendar yourself, since the link cannot write to it.

Schedules kept somewhere else

Jobs kept only in Jobber, Housecall Pro or ServiceTitan can be shared as a screenshot of the day's schedule with times showing. Bookings from Calendly that also land in your Google Calendar can be read there. That is a calendar link, not a Calendly connection.

For Jobber, Housecall Pro, QuickBooks and other tools without a connection, see how CrewBuddy works from screenshots and exports on How it works.
