Cold email module (add-on)

Reach property managers with a short, honest email

Property managers and landlords hire painters, cleaners and repair crews for turnovers and repairs. With the cold email module, an add-on that is not part of any CrewBuddy plan, we set up cold email in your own Instantly account and manage the drafts, the list and the weekly results with you.

Text it like this

Fictional example.

You: I want to email property managers in Saint Paul about painting units between tenants. Where do we start?
CrewBuddy: Start with a sending domain that is separate from your main one, two or three inboxes on it, and Instantly warmup on for 2 to 3 weeks. While that runs, send me your list and where it came from, and I will write a 3-step sequence as an inactive draft for you to read.

Set up the sending side first

Cold email should never go out from your main business address. Buy a separate domain, set up two or three inboxes on it with your email provider, and add the SPF, DKIM and DMARC records your provider explains. Then connect those inboxes to Instantly and turn on warmup. Instantly’s help says an account is ready after at least two weeks of warmup, or three weeks for its AirMail accounts, with a health score above 90 percent.

We start new campaigns at no more than 20 emails per inbox per day. That is our own careful starting point. None of these steps promises that email lands in the inbox or that anyone replies. You buy the domain, the inboxes and the Instantly plan yourself, and we walk you through each step. CrewBuddy does not buy anything.

What to write to a property manager

Keep it to one service, the problem it solves for them, where you work, and one easy question. Fictional example, replace the brackets: Subject: “Turnover painting in [city]” Body: “Hi [first name], we paint vacant units between tenants for property managers in [area]. Would it help to have another painter on your list for busy months? [Your name], [company].” Two short follow-ups, about a week apart, are plenty.

Use your real name and business, and a subject line that matches the email. The FTC’s CAN-SPAM guide says the law has no exception for business-to-business email. It covers honest headers and subject lines, a valid postal address, a clear way to opt out, and honoring opt outs within 10 business days. CrewBuddy adds your business mailing address and the line “Reply STOP to opt out.” to every step.

How we manage it with you

CrewBuddy builds the campaign in Instantly as an inactive draft, adds the people from your list after checking the email format and removing duplicates, and writes the steps. Before it starts, you read the full campaign: the emails, the list and count, the sending inboxes, the daily amount and the schedule. You start it with a one-time code CrewBuddy texts you.

Ask for results once a week and CrewBuddy reads the campaign numbers and inbox health in Instantly: emails sent, replies, bounces and how each inbox is doing. Paste a reply into a text and it drafts an answer for you to send from Instantly. You add anyone who opts out to the Instantly blocklist. The weekly results recipe shows what that report looks like.

The cold email module is an add-on, and we agree on its price before you start. See the cold email module and plans and pricing. CrewBuddy works only from lists you provide. It does not find, scrape or buy contacts. Checking the format of an address does not show that the address works or that you may email that person, so tell us where the list came from and who is on it before we load it.
