Cold email module (add-on)

Reach property managers and builders by email

The cold email module is an add-on, not part of any CrewBuddy plan. Property managers and builders can keep a crew busy between homeowner jobs. With the module, we set up cold email in your Instantly account and manage it with you. CrewBuddy writes the emails and reads the results.

Text it like this

Fictional example.

You: Write a first email to property managers about painting between tenants.
CrewBuddy: Subject: Painting between tenants. Hi Pat, I run a small painting crew in [your town]. We paint units between tenants: walls, trim and doors. Do you have someone you call for turnovers right now? If not, I can send a price for one unit.

A separate sending domain

Cold email goes out from a second domain, never from your main business domain or a part of it. You buy the domain yourself, plus two or three inboxes on it from your email provider. The email settings that show the mail is really yours (SPF, DKIM and DMARC) are set with that provider. We walk you through each step and connect the inboxes in Instantly.

Warm-up and a slow start

Warm-up runs in Instantly for two to three weeks before the first campaign. After that, each inbox starts at no more than 20 campaign emails a day. That is our own careful starting point, not a promise that every email reaches the inbox. CrewBuddy can check inbox health and warm-up results whenever you ask.

Your list and your words

You bring the list: the property managers, builders and general contractors you want to reach, where the names came from and what you want to offer them. We do not buy or scrape lists. CrewBuddy writes a short first email and a few follow-ups in plain words, without made-up claims about your work.

Small, specific lists work best to start: the property managers who run rentals in the towns you already work in, or the builders you have done side work for. A simple offer helps too, like a price for one unit or one job, so the reader knows what to say back.

Each email carries your business mailing address and a line to reply STOP to opt out. A campaign stops writing to a person once they reply. The FTC explains the US rules for commercial email in its CAN-SPAM guide; other countries can have stricter rules.

Starting and watching

Before the first send, you get the whole plan in one message: the emails, the list and how many people are on it, the sending inboxes, the daily amount and the schedule. The campaign starts when you reply with the one-time code you are sent.

After that, CrewBuddy reports replies, bounces and inbox health in plain words. You read and answer the replies from your own inbox, and anyone who asks to stop goes on your Instantly blocklist before the next campaign. No one can promise inbox placement or a number of replies.

The cold email module is an add-on and is not included in any CrewBuddy plan. We agree on its price before you start. You pay Instantly, your email provider and your domain registrar directly. See plans and pricing, or ask us on your 15-minute call.
