CrewBuddy

An assistant you text, built for small crews

CrewBuddy is an assistant you text like a coworker. It writes quotes, follow-ups, review requests and job summaries from your notes. It can also work in your Google Ads account, and in Instantly if you add the cold email module. We set it up with you.

Text it like this

Fictional example.

You: What do I have open?
CrewBuddy: You have 3 open quotes. Mike, exterior paint, $4,800, day 7 check-in due today. Sara, deck stain, $1,250, sent Monday. The Lees, bathroom tile, waiting on their tile pick. Want drafts for Mike and Sara?

What it does by text

You text CrewBuddy the way you would text someone in the office. Send rough notes from a site visit and it turns them into a quote with your prices, what is included and what is not. Ask about open estimates and it lists them with the next check-in. Tell it a job is done and it drafts the customer summary, the review request and, if needed, the payment reminder.

It reads photos of handwritten estimates, receipts and product labels, and it writes in English or Spanish. Text “tomorrow?” in the evening and it reads tomorrow’s jobs from your calendar and points out gaps, like a job with no address or two jobs booked for the same time, and checks the forecast for outside work. It reads your calendar through its private link and does not change it.

Ads and the cold email module

With Google Ads connected, CrewBuddy reads your results, builds paused Search campaign drafts within the daily limit you set, finds searches to block and pauses things when you get busy. You turn drafts on in Google Ads, and Google bills the ad spend to you. See Google Ads for the slow season.

Cold email is an add-on module, not part of any plan, and we agree on its price before you start. With it, we set up cold email in your Instantly account and manage it: the sending setup, inactive drafts, the list you provide and a results report whenever you ask. See cold email to property managers. Neither ads nor email come with a promise of jobs, and we will tell you plainly what the numbers show.

What it works with, and what it does not do

Keep the tools you already pay for. CrewBuddy does not connect directly to Jobber, Housecall Pro, ServiceTitan, QuickBooks or Square. Send it an exported file or a photo of the screen and it works from that. It does not send texts from your number, answer your calls, or post on Google for you. You copy the draft and send it.

It starts from a Business Brief we fill in with you: your services, prices, service area, three examples of how you write, and words you never use. It can get things wrong, so read names, prices and dates before anything goes to a customer. Do not send it card numbers or bank logins. The FTC’s data guide is a good short read on what information a small business should keep at all.

The fastest way to see whether it fits is to bring one real thing that is piling up, like a quote that went quiet or a week of job notes, to a short call with us. The recipes show the exact messages owners send for each job.
