Turn a missed call into a quick, personal text

When you could not pick up, text CrewBuddy the time, the caller and what the voicemail said. It writes a reply you can send from your phone.

What you send: The time of the call, the caller’s name or number, and what the voicemail said, typed or pasted from your phone’s transcript.
What you send
What you get: A short text that answers the voicemail, asks one useful question, and offers a callback time, with a list of anything to check.
What you get

Fictional example.

Text it like this

Fictional example.

You: Missed call 11:40 from Linda. Voicemail: fence gate dragging on the ground, wants a quote to fix or replace it.
CrewBuddy: Draft: Hi Linda, this is Rob from [company]. Sorry I missed your call. Is the gate wood or metal, and does it look like the hinges or the post has moved? Send a photo of the bottom of the gate if you can. I can call you back after 3 today. Check: make sure you are free after 3.

Answer the voicemail, not a script

Most phones show a voicemail transcript now. Copy it into your text to CrewBuddy, along with the time and the caller. The reply then answers what the person actually said, which reads very differently from a generic “sorry we missed you.” If there was no voicemail, CrewBuddy writes a simple note with your business name that asks what they need.

Keep the question to one thing that helps you on the callback. For a leak, whether it is still wet. For a quote, the size of the job. For a repair, a photo. The customer can answer in a few seconds, and you call back already knowing more.

Give a callback time you can keep

Only promise a time you will really have free. Ask CrewBuddy to remind you at that time, and it texts only you. If you are booked solid for weeks, say so kindly and give a real date, rather than leaving the caller waiting for a call that will not come soon.

If your business phone app can send an automatic text when a call is missed, CrewBuddy can write that wording once. Your phone app sends it. Then use this recipe for the personal follow-up after you hear the voicemail.

If a caller replies STOP or asks not to be texted, note it where your crew can see it, and stop. If the same number calls twice in a row, it may be urgent, so a call back beats a text. The missed call guide covers automatic text-back and the FCC rules on automated texts.
