Back office
Never find out at the gate that a certificate lapsed
Licenses, liability policies, workers’ comp and your subs’ certificates all expire on different days. CrewBuddy reads them, keeps one list and reminds you in time.

Text it like this
Fictional example.
What it reads
From a certificate of insurance, CrewBuddy reads the insured, the insurers, the policy numbers, the effective and expiration dates, the limits and whether you are listed as additional insured. From a license card or a state lookup page, it reads the license number, classification and expiration. In California, for example, the CSLB license lookup shows the expiration date, the bond and the workers’ comp policy on file.
A certificate is a snapshot. It shows the coverage on the day it was issued and does not change the policy, so if a sub tells you a policy changed, ask their agent for a new certificate.
Reminders and requests
With Schedules on, CrewBuddy texts you 30 days before each date, or at the lead time you pick. Schedules holds up to 20 reminders at a time, so with a long list of subs it can send one roundup on the first of each month instead. The text names the document and who to ask. It can draft the email or text asking a sub for an updated certificate, which you send. If TickTick is connected, the dates can go in as tasks too.
When a new certificate comes in, send it and the list and reminders update. GCs who ask you for a certificate get the right one the first time.
Keep the certificates themselves in your files too, so “send the GC our certificate” is a quick reply.

What you send
Photos or PDFs of your license, your certificates of insurance, and any certificates your subs have sent you.
What CrewBuddy prepares
One list with each license or policy, who it belongs to, the insurer and limits, the expiration date, and a reminder 30 days before each date.
What to keep in mind
Reminders need Schedules on. A certificate shows coverage on the day it was issued, so confirm changes with the agent who issued it.
