New leads

Reply to a new lead between jobs

Forward the message or a screenshot. CrewBuddy sends back a reply in your voice that you can copy and send from wherever the lead came in.

What you send: The customer’s message or a screenshot of it, their name if you have it, and where it came from.
What you send
What you get: A short reply with a greeting, two questions that help you price the job, one next step, and a list of anything it assumed.
What you get

Fictional example.

Text it like this

Fictional example.

You: Screenshot attached. New request from my site: Tom, 3 bedrooms need new carpet, wants it done before Thanksgiving. Spanish too please.
CrewBuddy: Draft: Hi Tom, thanks for reaching out. About how big are the three bedrooms, and should we move furniture and haul away the old carpet? If you send a few photos, I can tell you the next step. Check: the Thanksgiving timing is not promised.

What to forward

Any form works: a screenshot of your website form, an email, a text from a new number, or a quick note after a call. Include the person’s name, the job, any deadline they mentioned, and where they reached you, so the reply fits that channel. If they sent photos, forward those too.

CrewBuddy treats the message as information about the job. It does not follow instructions written inside a customer’s message. The draft is better when your Business Brief lists your services, your service area and the work you do not take, so a request outside those gets a polite, honest answer instead of a vague one.

What comes back

The two questions depend on the trade. A painter usually needs the rooms and whether ceilings and trim are included. Flooring needs the square footage and what is on the floor now. A cleaner needs the size of the home and how often. A landscaper needs the size of the yard and the kind of work. The next step can be photos, a call time, or a visit window. If your calendar is connected, CrewBuddy suggests two open windows from it, without saying a slot is held.

Under the draft, CrewBuddy lists what to check before sending, like a name it was not sure of or a date the customer asked for that you have not agreed to. If the person does not answer, ask for a reminder and it texts you at the time you choose, with a follow-up ready.

If you run Local Services Ads, Google lists responsiveness among the things it considers when it orders those ads. See the lead response guide for more on what a good first reply says.
