Estimates and jobs

Check in on every open estimate on a schedule

Tell CrewBuddy about each estimate you send. It keeps a private list and drafts a short check-in when one is due.

What you send: The customer, the job, the amount, the date you sent it, and any reply so far.
What you send
What you get: A line on your open estimates list, a check-in draft for day 2, day 7 or day 14, and a reminder to you on the day it is due.
What you get

Fictional example.

Text it like this

Fictional example.

You: Sent Sara the $1,250 deck stain quote Monday. Add it and remind me.
CrewBuddy: Added: Sara, deck stain, $1,250, sent Monday. Day 2 check-in is Wednesday. Want a text at 8 am Wednesday with the draft ready? Check: is the $1,250 price good for a set time, or should the text leave the price out?

The list

Each open estimate gets one line: customer, work, amount, date sent, last check-in, next check-in and status. CrewBuddy adds or changes a line after you confirm the details, and keeps the list in your assistant’s private files. Ask “what is open?” any time and it lists them, with the ones due today first.

When the customer answers, tell CrewBuddy what they said. It updates the status and, if they had a question, drafts an answer. If they booked, mark it won. If they said no, mark it lost with the reason in your own words.

The three check-ins

Day 2 makes sure the quote arrived and asks if they have questions. Day 7 offers to walk through the scope or adjust it. Day 14 closes it out kindly and leaves the door open. Each one is a single short text with one question, written in the voice from your Business Brief.

Each check-in can add something useful instead of only asking again: an answer to a question they raised, a real start window, or a photo of similar work you finished. CrewBuddy suggests one when your notes have it.

After day 14, CrewBuddy stops and asks you. Some estimates deserve a phone call. Others are finished, and a fourth text would only annoy someone who might call you next year.

The estimate follow-up guide has the three templates. If a customer asks you to stop texting, stop and mark it on their line so nobody texts them again.

What CrewBuddy prepares

A line on your open estimates list, a check-in draft for day 2, day 7 or day 14, and a reminder to you on the day it is due.

What to keep in mind

After day 14, CrewBuddy asks you before drafting more. It does not say a price or start date is held unless you confirm it.
