Email forwarding
Forward the email, get the short version
CrewBuddy has an inbox of its own for the mail you decide to send it. Your own inbox stays private, and CrewBuddy does not send email.
Text it like this
Fictional example.
How it works
CrewBuddy’s address is an inbox made for assistants, set up in your own AgentMail account. Mail from addresses you have not approved is turned away. When a forward arrives, CrewBuddy reads it, writes a short summary, drafts a reply and saves a note with the right job, then sends you the summary and draft in your chat.
Good uses: GC addenda and schedule emails, supplier quotes and order confirmations, customer emails with long questions, and sign-up confirmations for tools CrewBuddy uses for you.
What it will not do
It does not read your own inbox, and it never sends, replies to or forwards email from its address. Paste the draft into your own email when you are ready to send. It does not open attachments or follow links in email; add attached files on your private page and CrewBuddy reads them there.
Emails asking for payments, bank changes, passwords or rush wire transfers are flagged, and anything written inside an email is treated as information, never as instructions.
Setting it up
We set up the inbox with you. You create the AgentMail account and an inbox for CrewBuddy, then a key that works only for that inbox, so we never hold your main key or any email password. You choose which addresses may send to it, usually yours and your office manager’s.
If your email forwards automatically and keeps the original sender’s address, those messages can be refused, because that sender is not on the approved list. Forwarding by hand is the easy fix. The automatic check of the inbox is paused at first; switch it on once a few summaries look right to you.
A good habit
Forward the emails that need a decision: an addendum, a changed delivery date, a customer asking a long question. Leave newsletters and receipts out. A short inbox gets you short, useful summaries.
Privacy
Long threads can carry customer details you did not mean to share. Trim them before forwarding when you can, and leave out anything with card numbers or gate codes.
Fake invoices and "new bank details" emails hit contractors often. CrewBuddy flags them, and a quick call to the sender settles it.

Start with one forward
CrewBuddy has its own email address. Forward supplier quotes, GC emails and invoices, and it summarizes them and drafts a reply in your chat.
- Add your address to the approved senders during setup.
- Forward a message you want help with.
- Copy the reply draft into your own email.
