Send invoice reminders without doubling up
IRS business-record guidance calls for records that support income and expenses, including invoices and receipts. Before a reminder goes out, check the current balance, partial payments and disputes against those records. 25

Start with what is actually unpaid
An unpaid-invoice report is a useful starting point, but it is not a live view of every payment. Record the export date and time. Check recent bank entries or payment records through the person who handles your books. A partial payment, a credit or a payment waiting to settle can change the next message. Use the invoice number to match the record. A customer with several properties can have several invoices at once, so matching only the name can send a reminder about the wrong job.
CrewBuddy can organize a supplied report into a review list and draft messages from confirmed facts. It does not need bank credentials for that task. Keep payment details in the business record. The message should use the remaining balance and actual due date, with a note to check anything that may have changed since the report.
Find out which reminders already run
Many owners already have invoice reminders enabled without thinking about them each week. QuickBooks Online offers automatic and manual reminders. Square and Xero also document invoice reminder features. Before adding a manual text, have the account owner inspect the relevant settings and the invoice history. Write down the sending app and the next scheduled message where your office can see them. A spreadsheet note alone does not stop the vendor from sending. The person with account access needs to make any change in the actual app.
Choose one place to send routine reminders for each invoice. A personal follow-up may still be useful when there is a question, but record it so the next person sees the context. The aim is a clear conversation, not the largest possible number of touches across email, text and the accounting app.
Write a reminder a customer can understand
Use the invoice number, work description, remaining amount and due date you checked. Add the payment link already associated with that invoice when you have verified it. Keep the wording neutral. The first useful question may be whether the invoice arrived or whether the customer needs the document resent. Avoid suggesting the customer is deliberately withholding payment when the record only shows an open balance. Do not invent a late fee or a new deadline to make the message sound firmer. Use only terms your business has already established.
Tell CrewBuddy whether the customer prefers English or Spanish and how you normally address them. Review placeholders before copying the draft. A sentence saying please pay the invoice is not enough if it omits the number and forces the customer to search through several old emails to understand which bill you mean.
Separate questions and disputes from routine nudges
A customer who says the amount is wrong needs a review of the job record. A customer who reports unfinished work needs the owner or assigned person to respond. Put these invoices in a separate review list rather than continuing an ordinary payment sequence. Preserve the customer's words and the related estimate, changes and completion notes. CrewBuddy can summarize those records and draft an acknowledgment without deciding who is right. The owner decides the business response and gets professional help for collection or contract questions when necessary.
Record who is handling the review and the next internal check date. Check the actual reminder settings for that invoice. Moving a row into a disputed column does not disable an email already scheduled by your accounting system. Confirm the account change and leave a dated note for the office.
Treat deposits and final payments differently
A deposit request supports a booking conversation, while a final invoice relates to completed or recorded work. Do not describe an invoice marked sent as a paid deposit. Check the actual transaction status in Square or the tool you use. If the customer says they paid, acknowledge the message and verify before promising a start date. If the amount is short or the payment is not yet confirmed, leave the booking status clear. CrewBuddy can prepare a check list without declaring that money has arrived or a crew slot is held.
Keep the payment record, customer acknowledgment and confirmed booking together. Once payment is recorded, remove the invoice from any manual reminder list and inspect automatic reminders as needed. A receipt from the payment system is different from a draft message saying thank you for your payment.
Make a small weekly review work
Set aside one regular review for open balances and customer replies. Use a fresh report, mark the person checking each invoice and pick the next action. Count confirmed payments separately from messages sent. If customers repeatedly ask what a charge covers, improve the invoice description and the job handoff. If invoices are regularly sent to the wrong contact, fix the customer record. Sending more reminders cannot repair an unclear invoice or an outdated email address. Use the questions you receive to improve the source information.
Keep this process small until the volume justifies more. One review list, one sending process per invoice and clear stop conditions usually give the office a usable starting point. CrewBuddy helps prepare the list and wording. Your accounting system remains the place where invoice balances, credits and payments are actually recorded.
Walk a partial payment through the list
The weekly report shows an invoice with a balance of $480. Before the office sends a reminder, the customer says they paid $200 that morning. The office assigns someone to check the payment and leaves the reminder pending. CrewBuddy can prepare an acknowledgment that says the payment record will be checked. It should not declare the full invoice paid or repeat $480 as the current balance. After the responsible person confirms the entry, the office updates the review list using the balance recorded in the accounting app.
The office also checks whether an automatic reminder is scheduled for the next day. If a manual follow-up is appropriate, choose which process will send it and record that choice. Keep the remaining amount and any customer question together. A person taking over later should see that a partial payment was confirmed, the full balance is still open and the next action has an owner. The same approach works with an export from another accounting tool without assuming that all vendors share the same reminder settings.
